– You can save a completed apostille for archiving purposes to share with other members of your organization or for future reference.
– Increase the comfort level for the document recipients that documents have not been altered or tampered with after they have been certified.
– You can be assured that apostilled documents you received have not been altered, tampered with, or sections inserted or deleted.
– You can cross reference the apostilled document with the document the notary public witnessed at the time of the notarization, to make sure they are one in the same.
Throughout the years, we have noticed similar concerns on the part of the our clients )senders and recipients of apostilled and legalized documents) as it pertains to the safety and security of apostilled and legalized documents. This is due to the fact that apostille certifications are stapled by a single staple to important documents and legalizations are often just stamped, labeled or ribboned on the cover page of documents by embassies or consulates.
If an apostilled document is damaged, staple removed or loose pages become detached from the document is rendered unacceptable and becomes of no value.
Global Document Expeditors has developed a software program which addresses and solves these valid concerns. Our program, Certified Document Solutions (CDS) is designed to enable organizations and individuals who publish high-value documents to disparate recipient groups to increase the assurance level that the document’s integrity and authenticity are preserved.
The process is very simple and inexpensive.
Global Document Expeditors scans each page of document after it has been notarized. As the document is authenticated, certified, apostilled or legalized, CDS scans in the government issued certifications and indicias and creates a PDF file. CDS then enables the notary to sign the Portable Document Format (PDF) files, using standard digital certificates, which automatically appear when readers are using free Adobe Reader Software. The Digital Certificate used by the notary to certify the PDF is provided by a Certification Authority and is delivered and controlled under a strict certificate policy created by Adobe Systems Inc. This Electronic Signature, meets the following requirements: Unique to the person using it, Capable of Verification, Under the sole control of the person using it, Linked to a document in such a manner that the electronic signature is invalidated if any of the data in the document is changed.
A digital signature is a digital ID that has been highly vetted and secured. It ties critical transactions to key personnel. When a Global Document author applies a digital signature to a Adobe PDF document, they bind their identity within an organizational affiliation to precise content. Within the context of the document exact date and time is embedded, providing auditors an easy to follow and non-repudiated audit trail surrounding key and often time sensitive business decisions. The trail is embedded into the signature properties of the PDF and easily retrieved in an easy and cost effective human readable format. This increases the documents assurance level without requiring recipients to deploy additional hardware.
Global Document Expeditors is an authorized participant in the Adobe Certified Document Services (CDS) program. We have gone through a rigorous certificate policy that relaying parties can use to determine whether and Adobe PDF (of an apostille or legalization) document is authentic. We are held to a stringent standard developed by Adobe and Web Trust audited to allow us to digitally sign PDF’s.
The benefits of our CDS software are immense to both senders and recipients of international documents. Our clients benefit from CDS with more efficient and less expensive electronic document storage. Now it is possible for international documentation to be exchanged among customers, partners, with the assurances all parties require.
Document senders are able to create a digital library of apostilled and legalized documents. These documents can now be saved, stored, transmitted and filed for future reference.
Document recipients can interrogate the authenticity of a document simply by comparing the original paper version to the digitally certified file. Any inconsistencies will be detected immediately.
Government imposed regulations liek Sarbanes-Oxley (SOX) require companies to implement increased controls regarding sensitive information retention and storage. CDS assists with this process. CDS meets or exceeds most Federal and State electronic signature guidelines and is an easy to understand and a highly trusted experience for the recipient.
When a recipient opens a vital document including birth, death, marriage certificates, judgments, passports, educational documents, certified copies with Adobe Acrobat Reader, the Reader displays a visible verification sign. That means the identity was verified by a trusted organization and tha the document has not been altered.
Our CDS system has solved the age old problem regarding the security of foreign documents. Now the integrity and accuracy of an apostille or legalization can be secured by more than a single staple attached to the document. Accountability is no longer an afterthought, and steps to ensure auditable internal controls can now be weaved into day-to-day operations. Our clients are able to benefit from increased document security, the financial rewards of brand protection, customer satisfaction and increased document security, and able to avoid even the perception of improprieties.
